Uploading Emails to iMIS (Member Cases and Member Profiles)
This guide explains how to upload emails to iMIS using the Outlook Save to iMIS plug-in.
The process is the same whether you are saving to a member case or a member profile.
Before you start
Use the correct ID
- Saving to a Case: use the Case ID (always starts with C).
- Saving to a Member Profile: use the Member ID.
You do not need to use the case specific tab in the outlook plug-in to save to a case. As long as you search using the
correct ID, iMIS will locate the correct record.
Why use “Save to iMIS”
Using Save to iMIS is the preferred method because iMIS automatically captures and displays useful email metadata,
including:
- Subject
- From
- To
- CC
- Received on (date/time)
Step-by-step: Upload an email using the Outlook plug-in
Step 1: Identify the correct ID
Confirm whether the email should be saved to a case or a member profile, then copy the correct ID:
- Case ID (starts with C) for cases
- Member ID for member profiles
Step 2: Open the email in Outlook
- Open the email you want to upload.
- Ensure the Save to iMIS plug-in is visible in the Outlook toolbar, this will display as the HSU logo with "view" under it.
Step 3: Open the “Save to iMIS” plug-in
- Click Save to iMIS on the Outlook toolbar.
- The plug-in panel will open on the right-hand side of the email.

Step 4: Search using the correct ID
- Paste the Case ID or Member ID into the search field.
- Confirm the correct record appears in the results.
Tip: Searching by member name can return multiple results. Always confirm using the ID.
Step 5: Log the email
- Select the correct case or member profile from the results.
- Click Log Email to member
- A loading bar will appear and then say "The message saved successfully!"
- You can now close the email.
Step 6: Confirm where the email is saved
- If saved to a Case: the email will appear under the case Documents and Emails tab.
- If saved to a Member Profile: the email will appear under Logged Emails & Documents on the member profile.
